The Enhanced Online Vault – Complete Package is a collection of all items you will need when working with your members remotely. The package includes the Enhanced Online Vault, eSign with text Messages, CU*Forms, Receipts, and Check Images from CU*BASE (if supported vendor).

This solution is designed for credit unions looking to dive in with electronic documents deeper at a low up front and small monthly cost. This solution accommodates archival receipts, photo IDs, and any loan/membership document as well as AP invoices. It allows staff to access documents from any branch and if coupled with our eSignature product you can work with your remote and mobile members easily to get business done remotely and efficiently. You get more business done; members get more convenience!

Overview

Enhanced Online Vault

With this solution you can begin eliminating paper day one. Receipts, photo IDs, loan/membership forms, and AP invoices are all included. We’ll install our document capture software, on each of your workstations, signature pads for capturing signatures in branch where needed and scanners to allow you to capture those documents that walk through the door with your members such as titles or verifications of income. Your CU*BASE forms and receipts will flow seamlessly through ProDOC where you can apply signatures and save them to our Enhanced Online Imaging Vault.

eSign with Text Messages

Now you can get documents signed by your members wherever they are with eDOCSignature. Simply put in their name and email address and they will get an email with instructions on how to sign their documents securely. The member will then either follow a link to a secure server or log in to online banking, adopt their signature, then click and sign. It’s that easy!

CU*Forms

CU*Forms gives credit unions the ability to upload their very own PDF or Word documents and build form templates for future use. Building the template is quite easy as CU*Forms is smart enough to extract text, check boxes, memo, and signature fields automatically from PDFs. Templates are also in color, giving members a better experience when signing electronically.

  • Upload PDF or Word documents and create your own forms.
  • Use over 300 CU*BASE data points like account, SSN, first and last name to automatically fill fields.
  • Allow credit union staff to enter information not automatically filled by CU*BASE
  • Electronically sign on a Topaz signature pad or send the documents out for eSign using eDOCSignature.

Check Images with CU*BASE

If you’ve ever been working in CU*BASE and needed to see a check image for a check a member wrote but had to leave CU*BASE, log into and search your checks image database just to see the image, then you’ll appreciate this feature! We can enable access to specific check images right from within CU*BASE inquiry making research tasks simple! If you want this access enabled to your check processor’s image repository then this is the product for you to make it all happen.

Pricing

  1. Setup Fee – Credit union will pay a one-time $750-900 Setup Fee.
  2. Monthly Fee – Credit union agrees to pay a monthly fee based on membership size:
    • 1 – 3000 Members$100/month
    • 3001 – 5000 Members$200/month
    • 5001 – 7500 Members$350/month
    • 7501 + Members$500/month

Restrictions

  1. Best Practices. Credit unions must agree to utilize best practices when scanning documents, so file sizes remain small which has numerous benefits including faster retrieval times, potentially lower costs for receiving data on media, keeping overall costs for utilizing the system low. These best practices include:
    1. Not scanning in color
    2. Scanning at a DPI of less than 300
    3. Using black and white where possible
    4. Breaking documents up that are very large – greater than 30 pages
  2. Document Return. By adding additional data to the system, it may increase costs for obtaining data on external media as additional media may be required.
  3. Data on Disk. Allows the credit union to capture any document deemed necessary to support a loan, NADA, CARFAX, etc. and to print documents to ProDOC™ provided the credit union has SwiftView™ and ProDOC™ printers installed.
  4. No Warranty/Acceptance of Risk. No technology or system is free from risk of incident or loss of data. The credit union is responsible for making sure data is archived as intended and accepts the risk of loss of data.
